Job Description

We are looking for an experienced executive & team assistant to join Bosch Mobility’s global communications team, helping an international team stay connected, organized and ready to deliver. You’ll coordinate leadership meetings, business travel, workshops and events, while maintaining intranet content, communication distribution lists and access to team tools. Bring your initiative, organizational skills and digital confidence to a varied role where you’ll support global communication activities and keep essential processes running smoothly.

Responsibilities

  • Distribution lists:
    • Maintains individual distribution lists via the IT Service Portal.
    • Requests, verifies, and adapts individual distribution lists for various mailings (e.g., Bosch Leadership Podcast, Bosch Business Update).
    • Maintains flexible distribution lists with over 500 recipients for the mailings mentioned above, updating them via the Swagger API tool.
  • Reporting, Monitoring, Access Management:
    • Generates compliance and status reports (e.g., via MyHR) to track and ensure the completion of mandatory trainings, such as Compliance.
    • Manages access rights for team-related folders and systems.
    • Approves and coordinates IT role assignments for team members.
  • BBM Sector Board (BSB):
    • Coordinates appointments and the Sector Board's participation in events (e.g., BBM Livestream) in alignment with the BSB secretariats.
  • BGN pages (including Site Architect role):
    • Acts as Site Architect to maintain the main BBM pages.
    • Manages and updates the content of the specific pages.
  • Event management:
    • Supports the planning of team events and workshops, which includes venue research for off-site or external locations, room bookings (via eRoom), and the preparation of interactive materials (e.g., Metaplan boards).
  • Document creation (optional):
    • Assists in the creation and formatting of documents, such as PowerPoint presentations.
  • Compliance:
    • Supports and monitors compliance with NDAs, data protection regulations, and specific document protection classes.
       
  • General:
    • Orders and manages hardware to ensure the team has the necessary resources to operate efficiently.
    • Fulfills any other tasks related to the area of responsibility, as requested by the direct superior.
Qualifications
  • Language: English;
  • University Diploma;  
  • Solid organizational skills and a proven ability to manage and coordinate schedules effectively;
  • Ability to support the planning and execution of events and workshops;
  • Attention to detail to ensure accuracy in all tasks;
  • Proven knowledge of Microsoft 365 and the ability to quickly learn new technologies;
  • Collaborative mindset and ability to work effectively in an international environment;
  • Flexibility to handle changing priorities and manage multiple tasks simultaneously in a fast-paced environment;
  • Proactive approach;

  • Proven experience in a large organization.
